TERMS

Terms of Service

1. Operator, acceptance and eligibility

Glownomics is operated by SO TIEM SOFTWARE, a Saskatchewan sole proprietorship, from 506-510 Perehudoff Crescent, Saskatoon, Saskatchewan S7N 4H6, Canada (“Glownomics,” “we,” “us”). You must be at least 18 years old to create an account. By creating an account, accepting an order or using Glownomics, you agree to these Terms for yourself or confirm that you are authorized to bind the business you represent.

2. Accounts and roles

You must provide accurate information, protect your email and sign-in session, and report suspected unauthorized access. Salon owners manage the salon, members, services and salon data. Workers access only records connected to them. Studio is a private workspace for an independent operator. The current product does not offer a separately advertised manager or receptionist role with independent permissions.

3. Responsibility for data

You are responsible for the legality, accuracy and authority to enter customer, technician, service, ticket, tip, booking, expense and document data. You must have appropriate consent before sending marketing email or messages and must honor opt-outs and suppression. Do not enter card numbers, SIN/SSNs, full tax identifiers, passwords or unnecessary sensitive data.

4. Booking and customers

Owner Pro and Studio Pro can open public booking after configuring services, booking workers and business hours. Glownomics checks conflicts at the server boundary, but the operator is responsible for accurate availability, services, prices, policies and contact information. Glownomics does not collect booking payment or deposits. The salon or Studio is responsible for performing services, rescheduling, cancellation and customer resolution.

Private two-way busy-calendar sync. Owner Pro and Studio Pro include private two-way busy-calendar sync. For each booking worker, you can connect a private iCal link from Google Calendar or Outlook: Glownomics imports the busy times in that calendar so they block booking, and gives you a private busy-only feed so Glownomics bookings appear as busy time in that calendar. Only busy times are exchanged; customer names, services, email addresses and phone numbers do not leave Glownomics, and this sync does not create, change or delete events in your external calendar. Changes are not instant: they appear after the next refresh, and your calendar provider decides how often it reads the busy-only feed. You can rotate the feed or disconnect the calendar at any time.

Booking texts. When a business turns them on, Glownomics texts that business’s customers about their bookings: confirmations, changes, cancellations and reminders. Texts come from the business’s own number, which Glownomics provides and which also answers its calls; they are sent on the business’s behalf and go only to North American phone numbers. A customer who books online chooses texts on the booking page; a customer who books by phone with the AI receptionist receives the texts for that booking. Booking texts are only about the customer’s own bookings. Separately, a business may send a customer who visited it in the last two years an occasional text inviting them to book again; it goes out only after the business reviews and approves who gets it and when, it names the business and its mailing address, and it says how to opt out. When a business turns on review requests, a customer may get one text after a visit inviting them to leave a Google review, at most once a year, and can reply STOP to opt out. When a business turns on text-back, a caller who hangs up before booking may get one text from the business’s number with its booking link and a way to call back, at most once a week; and during a call, the receptionist can text a caller the booking or payment link they ask for. How many texts arrive depends on the bookings. Message and data rates may apply. Reply STOP to the number a text came from to stop that business’s texts, START to resume or HELP for help, or email support@glownomics.com.

4A. AI phone receptionist

Customer calls with the AI receptionist are currently English-only. The operator is responsible for accurate hours, services, policies and direct transfer numbers; lawful call forwarding and notices; and reviewing appointments, messages or calls that need attention. The receptionist does not accept card details, guarantee every call or transfer will succeed, or replace human emergency handling. Starter is CA$99 per month including 125 call minutes, then CA$0.69 per minute; Growth is CA$198 including 300 minutes, then CA$0.64 per minute; and Scale is CA$297 including 500 minutes, then CA$0.59 per minute. Usage is accumulated by the second. Calls continue after included minutes and overage remains billable by the second. Glownomics emails the verified sign-in address when a billing period reaches 80% and again at 100% of included minutes; ordinary usage does not suspend answering. An owner may set an optional monthly cap on extra-minute charges in Settings → Billing: once a billing period's extra-minute charges reach it, new calls ring the owner's backup phone (safety line) instead of the receptionist until the period ends, those calls are not charged, and a call already in progress may finish slightly over the cap. If there is no usable backup phone, or the same caller calls straight back, the receptionist takes a message instead and that call is charged as usual; Settings → Billing says when this applies. The receptionist is sold on its own: it does not require Owner Pro or any other Glownomics subscription. Standard and Premium receptionist voices are included. “Your own voice” is an optional one-time payment of CA$5 per business that unlocks creating up to two custom voices at a time; it is not a subscription and does not renew. Prices are in Canadian dollars before applicable taxes.

If you connect Google Calendar, Square Appointments or Wix Bookings, the receptionist uses the access you grant to check availability and to create, change or cancel the appointments callers confirm. You remain responsible for that calendar’s settings and for the appointments it holds. You can disconnect a calendar at any time from the receptionist portal.

5. Technician shares and payout records

Glownomics is a salon recordkeeping tool. Technician-share, tip, adjustment and payout amounts reflect data and rules entered or confirmed by users. Glownomics is not payroll; it does not decide employee or contractor status; calculate or file tax, CPP, EI, overtime, vacation pay or statutory deductions; or provide accounting, tax or legal advice. Salon owners and technicians must review records and use appropriate professional advice.

6. Free, Pro and usage limits

Promotional offers for the AI receptionist, such as a free trial with a monthly booking guarantee, are available only while Glownomics has the offer open and are described in section 7A. A promotional rate, trial or credit already granted remains governed by the terms shown when it was granted while that subscription remains eligible. Limits that create operating cost or security exposure are enforced at the server boundary. Current prices and features appear on the pricing and upgrade screens. Glownomics will give at least 30 days’ notice before a paid-plan price change affects an existing subscription, and the change will apply no earlier than the next renewal after that notice period. Applicable sales tax, if any, remains subject to the final tax configuration and will be shown before payment.

7. Subscriptions, renewal, cancellation and refunds

Paid subscriptions use Stripe Checkout and renew on the displayed cycle until cancelled. Owner Pro and Studio Pro are monthly; Worker Pro has monthly and annual options. Authorized users can open the Stripe Billing Portal from Settings. Cancellation takes effect at the end of the current paid period, with Pro access continuing until that date. There is no automatic partial-period credit, refund or mid-cycle change between Worker Pro and Studio Pro; cancel the current personal subscription, retain access through its period end, and start the other plan afterward. Owner Pro is billed separately per salon. A failed payment may place access in a temporary grace state only through the current paid-through date; Free limits apply after that date unless payment succeeds.

Each eligible user or salon may claim one 30-day trial of Owner Pro, Worker Pro or Studio Pro without a card; that trial does not automatically convert to paid service. AI receptionist trials are different and are described in section 7A. Refund requests must be sent within 30 days of the charge. Glownomics will refund a confirmed duplicate or incorrect charge or another billing error caused by Glownomics or Stripe. Other refunds are not automatic and are provided only when required by applicable law. These rules do not limit statutory rights. Cancelling does not delete records; Free limits apply to advanced reports after Pro ends, while the portable JSON export remains available on Free.

7A. AI receptionist free trial and monthly booking guarantee

Launch offer. While Glownomics has the launch offer open, a business that has not had an AI receptionist subscription or trial before can start one free trial of the Starter plan on its own from the receptionist portal. A card is required. Before you enter it, and again in your confirmation email, Glownomics shows the trial length, the date of the first charge, the monthly price and the monthly booking guarantee; the trial lasts the number of days shown before you enter your card. During the trial the receptionist answers calls up to the plan’s 125 included minutes; after that, until the trial ends, calls ring your backup phone, or the receptionist takes a message if you have none. Unless you cancel before the trial ends, the card is charged the Starter price of CA$99 per month (125 call minutes included, then CA$0.69 per minute) plus applicable taxes on that date, and the subscription then renews monthly until cancelled. The launch offer does not lock the price; price changes follow section 6. You can cancel at any time from Billing in the receptionist portal. If you cancel during the trial, the receptionist keeps working until the trial ends and you are not charged. One trial per business and per owner account.

Monthly booking guarantee. Fewer than 5 bookings or booking requests in a paid month? We take CA$99 off your next bill, for your first 3 paid months. While your subscription stays in the launch offer, each of your first 3 paid monthly billing periods in which your AI receptionist has fewer than 5 qualifying calls earns this credit: Glownomics takes that month’s plan price off your next bill, which is CA$99 for Starter, or your locked price if your offer locks one. The free trial is not a paid month. From your 4th paid month, the plan price is charged whatever the number of calls. Usage beyond included minutes and taxes are still charged. The credit is applied automatically to your next invoice and has no cash value. A business that enrolled while the credit covered every paid month keeps that, as shown in its confirmation email.

Qualifying calls. A qualifying call is a call in which the receptionist saved a new appointment or sent you a booking request, and which you can see in Glownomics with that call. Each one counts once, even if the appointment is later moved, cancelled or missed, or you decline the request. Glownomics records the count when it verifies the call, usually within minutes, and later changes do not lower it. These do not count: a call in which nothing was saved, even if the caller heard “booked”; calls that only move or cancel an appointment; setup test calls, previews and demonstrations, including calls to the Glownomics demo line; calls from a number that was marked as a team phone at the time of the call (marking a number later does not remove calls already counted); and bookings made by text, chat or the booking page.

The receptionist stays on all month. A paid month does not earn the credit if, during that month: calls were paused (any “Pause calls” choice) for more than 24 hours in total; the business was closed on more than 5 days, counting both “Closed today” and “Closed days” (a date counts if the business was closed at any time that day, dates already set as closed later in the month count too, and a closure removed within 30 minutes of being added is treated as a mistake and ignored); the monthly cap on extra-minute charges was reached, so calls rang your backup phone; or, on any day, the receptionist was off or its phone number was not ready to take calls. Glownomics warns you in the app before you make a change that would do this.

Checked by a person. If no calls reach your receptionist for 7 days in a row (for example, because call forwarding was turned off at your phone company), or Glownomics’ daily records for the month are incomplete, a person checks the month before any credit. Glownomics tells you the outcome, and you can reply to support@glownomics.com.

Fair use. Glownomics may decline the credit for a month in which the receptionist was turned off, restricted or bypassed in a way not listed above, for example by sending callers to another number or telling them to call elsewhere. If it does, Glownomics tells you why.

When the receptionist isn’t a fit. Glownomics may end an AI receptionist subscription that isn’t a fit for the business, for example after several paid months with fewer than 5 qualifying calls. Glownomics gives at least 14 days’ notice by email, and the subscription then ends at the end of a paid month. You are not charged after it ends, and a credit not yet applied has no cash value.

Records. Glownomics keeps, with each month, the list of counted calls and that month’s pause, closed-day and call checks. You can see your counted calls in Settings → Billing.

Glownomics may also invite a business to a separate offer with different terms, such as a longer trial or a price lock; those terms are shown before you enter your card and in your confirmation email, and they apply to that subscription. Glownomics may close or change an offer for new sign-ups at any time; businesses already enrolled keep the terms shown when they enrolled.

8. Export, deletion and leaving the service

Every account, including Free, can download one portable JSON file containing permitted account data, owned salons, technician history and private Studio records. Advanced financial-report exports still follow plan limits. You can also submit a privacy request from the app. Exports are records, not completed payroll, tax filings or accountant certification. Some history may be anonymized instead of erased when necessary to preserve ticket, payout or audit integrity. Before leaving, download needed data and safely resolve pending offline operations.

9. Acceptable use

You must not access another person’s data; bypass RLS or server authorization; guess, collect or share tokens; fabricate percentages, rules or identities; send spam; upload malware; disrupt the service; conduct harmful testing; infringe intellectual property; or use Glownomics for illegal activity. Security research must follow the responsible-disclosure instructions.

10. User content

You retain rights in data you enter. You permit Glownomics and its service providers to process that data as needed to provide, secure, support and improve the service. You must have the right to upload logos, images, receipts and other content.

11. Suspension, changes and availability

Glownomics may restrict an account or feature when needed to address fraud, a violation, security risk, legal request or operational incident. Features may change or stop with appropriate notice where practical. The service depends on internet access and providers such as Supabase, Stripe, Resend, Cloudflare, Twilio and Retell; uninterrupted availability is not promised.

12. Disclaimers, indemnity and liability

To the maximum extent permitted by law, Glownomics is provided “as is” and “as available,” without warranties that the service will be uninterrupted, error-free or suitable for payroll, tax, legal, accounting or emergency purposes. You remain responsible for reviewing records, exports, automated suggestions and customer communications before relying on them.

You will indemnify SO TIEM SOFTWARE against third-party claims, losses and reasonable costs arising from data or content you lacked authority to provide, your unlawful marketing or customer communications, your services to customers, or your material violation of these Terms. This does not apply to the extent a claim was caused by our negligence, wilful misconduct or breach of law.

To the maximum extent permitted by law, neither party is liable for indirect, special, incidental, exemplary or consequential loss, or lost profits, revenue, goodwill or business opportunity. SO TIEM SOFTWARE’s total aggregate liability arising from Glownomics will not exceed the greater of CA$100 and the fees paid for the affected subscription or purchase during the 12 months before the event giving rise to the claim. These exclusions and limits do not apply to payment obligations, fraud, wilful misconduct, infringement, breach of confidentiality or privacy obligations, or liability that applicable law does not permit a party to exclude or limit.

13. Governing law and disputes

These Terms are governed by the laws of Saskatchewan and the federal laws of Canada that apply there, without regard to conflict-of-law rules. The parties will first try in good faith to resolve a dispute through written notice. If it is not resolved, the courts located in Saskatoon, Saskatchewan have exclusive jurisdiction, except where applicable law gives a party a non-waivable right to proceed elsewhere. These Terms do not require private arbitration and do not waive statutory consumer or privacy rights.

14. Contact, notices and changes

Questions about accounts, billing, data or these Terms can be sent to support@glownomics.com or through Contact. Formal legal notices to Glownomics must also identify the sender and be delivered to SO TIEM SOFTWARE, 506-510 Perehudoff Crescent, Saskatoon, Saskatchewan S7N 4H6, Canada. We will give at least 30 days’ notice before a material Terms change adversely affects an existing paid subscription, unless a shorter period is reasonably required for law or security. Continuing to use the service after the effective date constitutes acceptance; if you do not accept the change, cancel before it takes effect.
